REVISED Space Allocation and Management Policy
The Space Allocation and Management Policy has been updated with new processes and forms to be used by staff.
The purpose of this policy is to establish a transparent framework for the allocation, utilization and management of space within the college consistent with best practices in postsecondary facilities management. This policy further outlines the space allocation practices and the long-term space planning decisions of the college ensuring alignment with the college’s goals, priorities and operational efficiency.

REVISED Acceptable Student Use of IT Resources Policy
The Student Use of IT Resources Policy has been updated to define User instead of Student, clarify confidentiality and minimum password requirements.
The purpose of this policy is to provide students with guidance on acceptable and unacceptable use of the College’s Information Technology (IT) resources.

REVISED Requirements for Encryption Policy
The Requirements for Encryption Policy has been updated to revise encryption levels and update the response and remediation of cryptographic failure.
The purpose of this policy is to define the requirements for system administrators in implementing cryptographic controls to protect the confidentiality and integrity of informational assets at Mohawk College.

REVISED Information Technology Infrastructure Security Policy
The Information Technology Infrastructure Security Policy has been updated to address the responsibility of asset tracking, labelling and classification and requirements to comply with Secure Password Requirements.
This policy provides Information Technology professionals across all business units of the College with a common baseline to protect the confidentiality, integrity, and availability of College assets.

REVISED Information Governance and Security Policy
The Information Governance and Security Policy has been updated by adding additional definitions as well as clarifying various roles and responsibilities.
This policy provides Mohawk College with direction on handling electronic and physical information with central and consistent guidance on creating, collecting, classifying, labelling, securing, storing, using, copying, transferring, and disposing of information. This policy also defines roles and responsibilities as it relates to the lifecycle and integrity of information.

REVISED Patch and Vulnerability Management Policy
The Patch and Vulnerability Management Policy has been updated to strengthen the rollback process and procedures, strengthens testing and validation requirements after patching and addresses vulnerabilities that cannot yet be addressed.
This policy provides expectations for the way that Information Technology Systems are maintained over their life cycle to reduce cyber security incidents by deploying security configuration changes and software patches.

REVISED Accessibility (AODA) Policy
The Accessibility (AODA) Policy has undergone a comprehensive review. The owner of the policy has been updated, and the bulk of the information comes from the Accessibility for Ontarians with Disabilities Act.
The purpose of the Accessibility (AODA) Policy is to set out the colleges commitment to creating an inclusive environment where all people can access education, employment, services, and facilities on an equal basis.

NEW Employee Participation in Political Activity Policy
A new policy on employee participation in political activity has been approved.
The Employee Participation in Political Activity Policy ensures that employees can participate fully in civic and political life, while also performing their duties impartially and without undue political influence.

REVISED Fee, Withdrawal and Tuition Refund Policy
This policy has been revised to provide additional clarity on the impact of a timelines for students and how refunds are processed as well as clarity on what occurs if a refund exception is approved. This policy has further been revised to identify what fees are eligible for a refund when an exception is approved.

The Procurement Policy has been updated with a new approval authority schedule for procurement of goods and consulting services to reflect changes in the dollar thresholds, increasing approval authority as a result of changes under the new Buy Ontario Procurement Directive.
The purpose of this policy is to detail the principles, procedures, roles and responsibilities for the procurement of goods and services, including construction, consulting services, information technology, research expenditures, no cost purchases and revenue generating Contracts.

The Health and Safety Policy has been updated to remove anonymous reporting as it is not required under legislation.

REVISED Academic Accommodation for Students with Accessibility Needs Policy
The Academic Accommodation for Students with Accessibility Needs Policy has been updated to allow students to work directly with Accessible Learning Services and Student Rights and Responsibilities offices for accommodations removing reference to the Accommodations Review Committee to ensure decisions are guided by legislation and the duty to accommodate.
The purpose of this policy is to inform and guide the Mohawk College community in providing academic accommodations for students with accessibility needs.

REVISED Student Assessment Policy
The Student Assessment Policy has been updated to reference retroactive accommodations, clarifying faculty discretion on student provided medical/personal documentation and limiting the use of the Student Wellness portal for accommodation requests.

REVISED Campus/College Emergency Procedure - ERP803
The Campus/College Emergency Procedure has been updated to align decision making with the current corporate structure. It further clarifies that the IAHS Campus will close if either Mohawk College or McMaster Univeristy closes.
The purpose of this procedure is to provide general direction to the Mohawk College community on when and how the College will “close” in the event of an Emergency Situation or Inclement Weather event.

The Change of Name for Students Policy has been updated to align with current practices and permit online submission of name change requests.

REVISED Academic Appeals Policy
The Academic Appeals Policy has been updated to address a gap in procedure for courses where a final grade is issued before the end of the term. It further addresses conflict of interest declarations for academic managers where they are directly involved in the academic decision being appealed.
The purpose of this policy is to provide guidelines for promoting fairness and consistency in academic decisions affecting Mohawk College students. This policy outlines the standardized procedures for the student appellant to challenge an academic decision, and to ensure reasonable and impartial treatment of student concerns related to academic decisions.

The mental health and well-being of Mohawk College students are prioritized to support their academic success and lifelong achievement. This policy has been updated to incorporate updates due to Bill 166 including adding definitions, added collaboration and impact references in alignment with reporting requirements.
The purpose of this Recruitment and Selection Policy is to ensure a timely, equitable and effective employee recruitment and selection process that complies with relevant employment legislation and applicable collective agreements. This also includes supporting the principles outlined in the Strengthening Accountability and Student Supports Act, 2024.
