Responsibilities

Each accommodation below outlines the roles and responsibilities of those involved in supporting the accommodation. Responsibilities are organized into five categories:

  • Student - Responsible for ensuring their Accommodation Letters are sent to all of their instructors, reviewing their approved accommodations, communicating their accommodation needs in a timely manner, confirming if Universal Design for Learning (UDL) practices are being implemented in any of their courses, and following all required procedures and deadlines to access and use their accommodations.
  • Faculty - Responsible for reviewing Accommodation Letters they receive, seeking clarification regarding accommodations as needed, communicating to students any Universal Design for Learning (UDL) practices being used in their courses, and the implementation and support of accommodations within the course and classroom environments.
  • Accessible Learning Services (ALS) - Responsible for developing, coordinating, advocating, implementing, and supporting relevant aspects of the implementation and support of the accommodation.
  • Mohawk Testing Centre - Responsible for the implementation and support of accommodations when the student completes an assessment through the Mohawk Testing Centre.
  • Shared - Responsibilities shared between any combination of the groups above.

Accommodations

Accessibility Facilitator (AF)

Student - Responsible for communicating with AF in a manner that does not interfere or disrupt the class/lesson, informing the AF of any updates and/or changes to schedules, class cancellations or room changes.

ALS - Responsible for arranging and coordinating the AF, informing the AF of support required and facilitating on-going communication.

Faculty - Responsible for permitting AF in the classroom.

Shared by Student and Faculty - Responsible for sharing any inquiries or concerns with the ALS office.

Additional Time for In-Class Assignments

Student - Responsible for connecting with faculty to request the additional time.

Faculty - Responsible for working out a plan and timeline for submission of each assignment.

Student and/or Faculty - Contact ALS office if support with the plan is needed.

Advanced Materials

Student - Responsible for connecting with faculty to request materials before class.

Faculty - Responsible for working out a plan for the student to obtain the advanced materials.

Student and/or Faculty - Contact ALS office if support with the plan is needed.

Accommodation Guide

Allow for Travel Time

Student - Responsible for communicating with faculty regarding potential lateness to class and notifying faculty when lateness results in missing a portion of the class.

Faculty - Responsible for working out a plan to ensure the student does not miss any important information.

Student and/or Faculty - Contact ALS office if support with the plan is needed.

Alternate Ways to Respond in Course Lectures

Student - Responsible for connecting with faculty to work out a plan for an alternate response in course lecture.

Faculty - Responsible for working with the student to develop an alternative method for participating and responding during course lectures.

Student and/or Faculty - Contact ALS office if support with the plan is needed.

Alternative Format

Student - Responsible for connecting with ALS technician to have material converted.

ALS - Responsible for providing the converted material.

Faculty - Responsible for ensuring course material can be converted into alternative format, CTLI can support with this.

ASL Interpreter

Student - Responsible for outlining preferences for delivery of service with the Interpreter such as, placement in class, interpreting methods and communication preferences, informing the interpreter of any updates and/or changes to class schedules, cancellations or room changes.

ALS - Responsible for arranging and coordinating the interpreting.

Faculty - Responsible for communicating with and supporting the interpreter to facilitate effective communication and access to course content.

Shared By Student and Faculty - Responsible for sharing any inquiries or concerns with the ALS office.

Accommodation Guide

Assistive Technology

Student - Responsible for learning how to use the technology, booking tests in the testing centre at least 7 days before the test date, bringing a headset for tests with a noise cancelling microphone.

ALS - Responsible for providing the training and ongoing support for the use of the technology.

Testing Centre - Responsible for ensuring the technology is available for any tests and exams.

Faculty - Responsible for ensuring all text material is provided in proper format and the test sent in a timely manner to the testing centre for test conversions.

Calculator

Student - Responsible for booking the test in the testing centre at least 7 days before the test date and bringing a calculator to the test.

Testing Centre - Responsible for making the arrangements in the testing centre.

Faculty - Responsible for reviewing and confirming the details on the test booking, sending the test to the testing centre in a timely manner, and retrieving the completed test from the testing centre.

Classroom Presentations

Student - Responsible for communicating with faculty to make appropriate arrangements for participation in presentations or alternate options for assignments that meet all learning outcomes.

ALS - Responsible for providing guidance to the student and faculty, as needed, in identifying appropriate options for participation in course that meet all learning outcomes.

Faculty - Responsible for working with the student to develop a plan for engaging in presentation assignments or providing alternate options that meet all learning outcomes.

Student and/or Faculty - Contact ALS office if support with the plan is needed.

Computerized Note Taker

Student - Responsible for communicating with the CNT to outline note taking preferences, informing the CNT of any updates and/or changes to class schedules, cancellations or room changes.

ALS - Responsible for arranging and coordinating the CNT.

Faculty - Responsible for permitting the CNT in the classroom and allow them to sit in the best place for taking notes.

Shared By Student and Faculty - Responsible for sharing any inquiries or concerns with the ALS office.

Designated Seating

Student - Responsible for advising faculty if they are unable to sit in their preferred seat.

Faculty - Responsible for working out a plan for the student to easily access their preferred seat for class.

Student and/or Faculty - Contact ALS office if support with the plan is needed.

Ergonomic Furniture

Student - Responsible for contacting ALS if the ergonomic furniture is not available in the classroom or learning environment, or if the ergonomic furniture requires repair, booking tests at least 7 days prior to the scheduled test.

ALS - Responsible for contacting facilitates to have an ergonomic chair placed in the classroom.

Testing Centre - Responsible for ensuring the ergonomic furniture is available for the student for any booked tests.

Faculty - Responsible ensuring the ergonomic furniture is not occupied by anyone other than the student with the accommodation.

Experiences Seizures

Shared By Faculty and Testing Centre - If the student experiences a seizure or other medical emergency while on campus, security should be contacted immediately to provide an appropriate medical response in accordance with the college's emergency procedures.

Extended Test Time (health sciences, general, and electrical code)

Student - Responsible for booking the test in the testing centre at least 7 days before the test date.

Testing Centre - Responsible for making the arrangement in the testing centre.

Faculty - Responsible for reviewing and confirming the details on the test booking, sending the test to the testing centre in a timely manner, and retrieving the completed test from the testing centre.

Extensions for Assignments

Student - Responsible for contacting their instructor before the due to request the extension and developing a plan and timeline to have the assignment complete.

Faculty - Responsible for collaborating with the student to develop a plan for the student to have an extended due date.

Student and/or Faculty - Contact ALS office if support with the plan is needed.

Accommodation Guide

FM System

Student - Responsible for obtaining the FM system, learning how to use it, ensuring the equipment is charged before providing it to faculty before class. At the end of class, student retrieves FM system from faculty.

ALS - Responsible for providing the FM system and guidance on its use.

Faculty - Responsible for wearing the lapel mic and managing the receiver, while sharing any information presented to the class. At the end of each class return FM system to the student.

IMPORTANT NOTE: Ensure the receiver is turned off during breaks or personal conversations to prevent information from being inadvertently shared with the student.

Formula Sheet

Student - Responsible for completing the required training, reviewing the guidelines for creating a formula sheet, preparing the formula sheet, and submitting it to their faculty for approval at least five days before the test.

ALS - Responsible with providing training on the development of a formula sheet and reviewing the guidelines.

Testing Centre - Responsible for ensuring the approved formula sheet is provided to the student with the test, collects the formula sheet upon completion of the test to be included in the test package.

Faculty - Responsible for reviewing the formula sheet and letting the student know if it has been approved or not; provide feedback and opportunity to resubmit it before the test date.

Group Assignments and Projects Accommodation

Student - Responsible for communicating with faculty to make appropriate arrangements for alternative methods of achieving the learning outcomes when group assignments or projects are assigned.

ALS - Responsible for providing guidance to the student and faculty, as needed, in identifying appropriate options for group assignments and projects.

Faculty - Responsible for working with the student to make appropriate arrangements for alternative methods of achieving the learning outcomes when group assignments or projects are assigned.

Student and/or Faculty - Contact ALS office if support with the plan is needed.

Invigilator as Reader

Student - Responsible for booking the test in the testing centre at least 7 days before the test date.

Testing Centre - Responsible for making the arrangements (reader), in the testing centre.

Faculty - Responsible for reviewing and confirming the details on the test booking, sending the test to the testing centre in a timely manner, and retrieving the completed test from the testing centre.

Invigilator as Scribe

Student - Responsible for booking the test in the testing centre at least 7 days before the test date.

Testing Centre - Responsible for making the arrangements (scribe), in the testing centre.

Faculty - Responsible for reviewing and confirming the details on the test booking, sending the test to the testing centre in a timely manner, and retrieving the completed test from the testing centre.

Laptop and/or Smart Device in Classroom; Lab Computer in Testing Centre

Student - Responsible for bringing the laptop and/or smart device to the class, booking the test in the testing centre at least 7 days before the test date.

Testing Centre - Responsible for making the arrangements in the testing centre.

Faculty - Responsible for permitting the use of laptop/smart device in class, reviewing and confirming the details on the test booking, sending the test to the testing centre in a timely manner, and retrieving the completed test from the testing centre.

Limited Bending, Lifting, Sitting, Standing, and/or Walking

Student - Responsible for reaching out to the faculty to identify their limitations.

Faculty - Responsible for working collaboratively with the student to develop a plan that meets the learning outcomes while minimizing the need for the limited physical activity identified.

Student and/or Faculty - Contact ALS office if support with the plan is needed.

Live and/or Closed Captioning

Student - Responsible for providing ALS with a list of classes requiring captioning and notifying ALS if they will be absent or if a class is cancelled, so that captioning services can be cancelled accordingly.

ALS - Responsible for arranging live/closed captioning (CART) services for the classes and/or videos.

Faculty - Responsible for ensuring captioning setting is turned on and available for the student, include captioning and/or transcript with pre-recorded videos posted in MyCanvas.

Accommodation Guide

May Leave Classroom for Short Periods

Student - Responsible for advising the faculty if they believe they may have missed information when leaving the class.

Faculty - Responsible for working collaboratively with the student to ensure they have access to all information presented during the lecture.

May Miss Classes

Student - Responsible for notifying faculty if they anticipate missing class or have missed a class.

Faculty - Responsible for working collaboratively with the student ensure the student has all the pertinent information presented in the lecture.

Memory Aid

Student - Responsible for completing training on how to create a memory aid and submitting the memory aid to the faculty for approval at least seven days before the test.

ALS - Responsible for providing the student with training on how to create a memory aid and reviewing the applicable guidelines with them.

Testing Centre - Responsible for ensuring the memory aid is provided to the student with the test, collects the memory aid upon completion of the test to be included in the test package.

Faculty - Responsible for reviewing the memory aid prior to the test and notifying the student if it has been approved; provide feedback if it has not been approved, reviewing and confirming the details on the test booking, sending the test to the testing centre in a timely manner, and retrieving the completed test from the testing centre.

Music/White Noise

Student - Responsible for booking the test in the testing centre at least 7 days before the test date.

Testing Centre - Responsible for making the arrangement in the testing centre.

Faculty - Responsible for reviewing and confirming the details on the test booking, sending the test to the testing centre in a timely manner, and retrieving the completed test from the testing centre.

No More Than One Exam in a 24-Hour Period

Student - Responsible for reaching out to the faculty to work out an appropriate schedule to complete all exams.

Faculty - Responsible for working collaboratively with the student to develop a schedule to complete all exams.

Student and/or Faculty - Contact ALS office if support with the plan is needed.

Photograph Materials Presented in Class

Student - Responsible for communicating with faculty about their intention to take photos in class and, where needed, following guidelines to ensure the learning environment is respected.

Faculty - Responsible for working out a plan where the student can take photos in a manner that is respectful to class and maintains confidentiality and dignity of the student.

Student and/or Faculty - Contact ALS office if support with the plan is needed.

Precautions Taken to Avoid Allergens

Student - Responsible for reaching out to the faculty to identify their allergy.

Testing Centre - Responsible for making efforts to ensure that the source of the allergy is not present in the testing centre.

Faculty - Responsible for making efforts to ensure that the source of the allergy is not present in the learning environment.

Student and/or Faculty - Contact ALS office if support with the plan is needed.

Private Testing Environment

Student - Responsible for booking the test in the testing centre at least 7 days before the test date.

Testing Centre - Responsible for making the arrangement in the testing centre.

Faculty - Responsible for reviewing and confirming the details on the test booking, sending the test to the testing centre in a timely manner, and retrieving the completed test from the testing centre.

Recording of Lectures – Audio

Student - Responsible for understanding the guidelines, notifying the faculty with intent to record, pausing the recording when asked by the faculty, bringing the equipment to record the lectures to class.

ALS - Responsible for providing and reviewing the guidelines with the student.

Faculty - Responsible for allowing the student to record the audio of the lecture, inform the student if there is sensitive content in the class that should not be recorded.

Student and/or Faculty - Contact ALS office if support with the plan is needed.

Reduction in Number of Courses Per Semester

Student - Responsible for connecting with their Program area and/or Student Success Advisor (SSA) to determine which courses are best to drop, officially withdrawing from the courses, and signing the tuition fee policy. If the reduction of courses changes the student’s status to part-time, they are responsible to OPT IN to full-time benefits by contacting Accounts Receivable at accounts.receivable [at] mohawkcollege.ca (accounts[dot]receivable[at]mohawkcollege[dot]ca).

ALS - Responsible for explaining and issuing the tuition fee policy for signing.

Faculty - Responsible for providing guidance on an academic plan for completing the program, where needed.

Remote Testing - Student Has a Virtual Classroom Accommodation

Student - Responsible for booking the test in the testing centre at least 7 days before the test date.

Testing Centre - Responsible for making the arrangements for virtual testing.

Faculty - Responsible for reviewing and confirming the details on the test booking, sending the test to the testing centre in a timely manner, and retrieving the completed test from the testing centre.

Remote/Virtual for In-Class/On-Campus Courses

Student - Responsible for informing the Accessibility Facilitator (AF) of any updates or changes to class schedules, cancellations, or room changes; attending the classes virtually through Microsoft Teams when required; and communicating with the AF to determine the best method for participating in class.

ALS - Responsible for contacting faculty to ensure all learning outcomes can be met virtually, if approved, making the arrangements for live streaming classes.

Faculty - Responsible for permitting the Accessibility Facilitator (AF) to attend the class and supporting an appropriate setup to enable the student to participate virtually. This may include positioning the AF near the front of the classroom so the student can clearly hear the lesson and view the materials being presented.

Scrap Paper

Student - Responsible for booking the test in the Testing Centre at least 7 days before the test date.

Testing Centre - Responsible for providing a blank sheet of paper, collects the scrap paper upon completion of the test to include in the test package.

Service Animals on Campus

Student - Responsible for ensuring the service animal wears a vest or harness; caring for the animal and cleaning up after it; and ensuring that the service animal is not taken into areas where food is prepared or where health and safety could be compromised.

ALS - Responsible for reviewing the Animals on Campus policy with the student.

Faculty - Responsible for permitting the service animal in class.

Student - Responsible for booking the test in the testing centre at least 7 days before the test date.

Testing Centre - Responsible for making the arrangement in the testing centre.

Faculty - Responsible for reviewing and confirming the details on the test booking, sending the test to the testing centre in a timely manner and retrieving the completed test from the testing centre.

Stand and Stretch Breaks

Student - Responsible for booking the test in the testing centre at least 7 days before the test date.

Testing Centre - Responsible for supporting the stand and stretch breaks.

Faculty - Responsible for reviewing and confirming the details on the test booking, sending the test to the testing centre in a timely manner and retrieving the completed test from the testing centre.

Thesaurus

Student - Responsible for booking the test in the testing centre at least 7 days before the test date and bringing the thesaurus.

Testing Centre - Responsible for making the arrangement in the testing centre.

Faculty - Responsible for reviewing and confirming the details on the test booking, sending the test to the testing centre in a timely manner and retrieving the completed test from the testing centre.
